Do you book the hotel for us?
Accommodation is a coordinated service, so the council lines up the options with hotels and providers rather than running any accommodation of its own. We shortlist by location and category, sort out room allocation and the group's requirements, and set out availability and the booking and cancellation terms before anything is committed. The confirmation and the terms behind it come from the hotel, not from us.
Will the hotel be near the venue?
Proximity to the venue is one of the criteria options are sorted by, alongside category, rather than a promise about any particular hotel. Most of our events run at Katara Cultural Village in Doha, so the shortlist is built around that location and tied to transfers and the event schedule where that helps. What is actually free on your dates is the hotels' side of it, so we need dates, room count and preferred category to narrow the list.
What if the delegation size changes after we book?
Tell us as soon as the number moves and the room allocation is reworked with the hotel. What can actually be amended or released depends on that hotel's own booking and cancellation terms, which is why those terms are set out before anything is confirmed rather than after.
Can accommodation be coordinated with transport and the event programme?
Yes. Where it is needed, accommodation is linked to the transfer and event schedule, so pickup times are built around where the delegation is staying and when sessions run. That is why we ask for arrival and departure dates alongside guest and room numbers at the start, and the transport side is likewise arranged with providers rather than operated in house.
